Getting started & installation

How do I install Chatbot Flow on my WordPress site?

Installation is done in 3 steps from your WordPress back-office:

1. Go to Plugins → Add New, search for Chatbot Flow on WordPress.org and click Install then Activate.

2. A new Chatbot Flow menu appears in your sidebar. Click it and enter your API key (received by email when you signed up at chatbot-flow.com).

3. Save. The chatbot widget is immediately visible on your site. Full content indexing completes within 24h.

Can I use Chatbot Flow without WordPress?

Yes, absolutely. Chatbot Flow works on any website via a simple one-line JavaScript snippet pasted before the </body> tag of your site:

How long before the chatbot is operational?

Installation and configuration take under 2 minutes: create your account, copy your API key, enter it in the plugin or paste the snippet. The chatbot widget appears on your site immediately.

In parallel, our system starts indexing your content. The first full sync takes up to 24h. You can trigger a manual sync from your dashboard to speed things up.

What are the technical requirements?

For WordPress: WordPress 6.4 or higher, PHP 8.1 or higher. That's it.

For any other site: no requirements. You just need to be able to add a <script> tag to your HTML. No JavaScript library to install, no build step, no framework required.

Will Chatbot Flow slow down my site?

No. The widget is fully asynchronous: it loads after your page's main content and does not impact your Google PageSpeed score or Core Web Vitals (LCP, CLS, INP).

The script is served from a high-performance CDN. Your site remains as fast as before. Many customers have measured zero performance difference before and after installation.

Content & indexing

Which pages does the chatbot index?

By default, all public pages on your site are indexed automatically: static pages, blog posts, product pages, categories, FAQ pages, etc.

From your back-office you can exclude individual pages or entire directories (e.g. /admin, /cart). You can also enrich the knowledge base with custom content.

How many pages can I index?

The BYOK and Managed plans include up to 1,000 pages — which covers the vast majority of SME websites.

If your site is larger (e-commerce, documentation portal…), the Volume option (+€5/month) raises the limit to 10,000 pages. If you approach the quota, you can exclude less important directories from the configuration.

Can I add custom content the chatbot will use?

Yes. In addition to automatic indexing of your site, you can add:

Free text blocks: enter information your site doesn't contain (special rates, internal policies, opening hours, answers to common questions…).

PDF files: upload catalogues, technical guides, T&Cs, documentation. Content is extracted and indexed automatically.

The amount of additional content allowed depends on your subscription plan.

How often is my site content updated?

Your content is automatically re-synced every 24h. Only pages modified since the last sync are reprocessed — the process is efficient and doesn't waste resources.

If you've just published an important page and want the chatbot to know about it immediately, the Sync now button in your dashboard triggers a manual update within minutes.

Can the chatbot reply in multiple languages?

Yes. The chatbot automatically detects the language your visitor uses and replies in that language — even if your site is in English and the visitor writes in Spanish, German or Japanese.

With the Premium option (+€3/month) you can configure specific behaviours per language and precisely define which languages your chatbot should support.

Subscription & payment

Is there a minimum commitment?

No commitment at all. You pay month to month and can cancel at any time from your dashboard in one click. Your chatbot stays active until the end of the period already paid, then deactivates automatically. No cancellation fees, no notice period.

What happens after the 30-day free trial?

When your trial expires, the chatbot is suspended (your visitors no longer see it). Your data — conversations, leads, configuration — is kept for 30 further days.

If you'd like to continue, simply choose a plan and enter your card details: everything picks up where you left off. After the 30-day grace period, non-exported data is permanently deleted.

Can I change plan mid-subscription?

Yes, at any time from your account area. The plan change is effective immediately. The new plan is billed in full on the date of change and replaces the old one. Both upgrades (BYOK to Managed, adding options) and downgrades are freely available.

What payment methods do you accept?

We accept all major cards: Visa, Mastercard, American Express. Payment is processed by Stripe, the world leader in online payments (PCI DSS Level 1 certified). Your card details never pass through our servers.

Can I get an invoice for my accounting?

Yes. An invoice is generated automatically after each payment and sent to your email address. You can also download all your invoices from your account area at any time. Invoices show the applicable VAT and the details of our company (Winevizer SRL, Belgium).

GDPR & security

Where is the data hosted?

All your data — conversations, leads, analytics, vector knowledge base — is hosted exclusively on servers in France, with OVH (Roubaix). No data is transferred to servers outside the European Union. We are fully GDPR-compliant.

Are chatbot conversations stored?

Yes, conversations are stored on our secure servers in France. This allows you to review them from your dashboard, be notified of important questions and analyse your visitors' needs. Data is encrypted at rest and in transit (HTTPS / TLS 1.3).

You remain the owner of your data at all times and can export or request deletion at any time.

How do I export my data?

From your dashboard, an Export as CSV button lets you download your conversation history and lead list in one click. The export is available at any time without limitation. On cancellation, a download link is also sent to you automatically by email.

What happens if I cancel my subscription?

Your chatbot remains active until the end of the paid period. On expiry, an automatic email is sent with a download link for all your data (conversations + leads collected). The link is valid for 30 days.

After that, all your data is permanently deleted from our servers: conversations, leads, analytics, vector knowledge base. In accordance with GDPR, no data is retained after you leave.

Does the chatbot collect personal data about visitors?

The chatbot only collects data that visitors choose to share voluntarily: their email or phone number if they click the "I'd like to be contacted" button or provide it themselves during the conversation.

We also collect anonymous metadata (device type, browser language, page URL) to improve answer relevance. No advertising tracking. No data reselling.
